Administrative Manager – Finance

£24k – £26k FTE + pension on a 2 year fixed term contract

15 – 20 hours over 3 days, as agreed with postholder but must include Thursdays and Fridays

Location: Chertsey Office

We are looking for someone with an interest in the voluntary sector who is enthusiastic and efficient to join our friendly team. Our Administrative Manager will lead on Finance and HR administration,  working with our Office Manager to support the effective running of our organisation.

Main Duties:

The following is typical of the duties the postholder will be expected to perform.  It is not necessarily exhaustive and other duties of a similar nature and level may be required from time to time.

  • Keep VSNS financial records updated using the Sage accounting system
  • Liaise with the Assistant Treasurer on all financial matters
  • Manage annual leave and sickness absence
  • Deal with HR and recruitment matters within VSNS
  • Develop and deliver an induction process for new staff members
  • Take minutes for team meetings as required
  • Work with the VSNS team to deliver events
  • Respond to all enquiries in a timely fashion
  • Attend learning and development opportunities as appropriate to the post
  • Attend and contribute to VSNS team meetings and to work with other VSNS employees and volunteers as a team
  • Ensure that all work undertaken is carried out in accordance with Equal Opportunities procedures
  • Work flexibly as and when required, within the hours of the post
  • Undertake other duties as directed by the Chief Executive
  • Assist in maintaining a healthy safe and secure environment and to act in accordance with the employer’s policies and procedures.

STEP Employment Advisor

£30k + pension

36 hours per week, 12 month contract

Location: Camberley, Chertsey or Staines office

Working directly with a caseload of refugee clients, in particular Ukrainian refugees, our STEP Employment Advisor will prepare refugees for competitive employment and help them to achieve their chosen training and employment objectives. The post holder will support clients to successfully complete training courses, voluntary and work placements and achieving paid employment.

Main Duties:

The following is typical of the duties the postholder will be expected to perform.  It is not necessarily exhaustive and other duties of a similar nature and level may be required from time to time.

  • Providing new clients with an effective induction to the service
  • Carrying out a holistic and employment focussed initial assessment and completing an individual action plan with each client
  • Conducting regular one to one meetings with clients in line with their action plan, to provide practical support and advice
  • Preparing a CV with each client and helping them to update it as required
  • Delivering a range of Working in the UK workshops
  • Sourcing vocational training courses and volunteer and work placements as appropriate
  • Assisting clients to write job applications and cover letters
  • Carrying out ongoing monitoring with individual clients, assessing progress against action plans and completing impact assessments
  • Assisting individuals to recognise prior attainment by sending information about existing qualifications to UK ENIC and identify and access ‘top-up’ or additional training as required
  • Arranging STEP ESOL Classes or ensuring clients take advantage of other ESOL provision available to them
  • Managing a budget to be used to assist individual clients to access or move towards employment. Examples may include paying for training courses, special equipment needed for work, or payment towards travel costs
  • Working in collaboration with other employability organisations to accelerate employer engagement to achieve work experience and job offers for clients
  • Building and nurturing a portfolio of employers working with the service. The post holder will be expected to arrange and attend strategic meetings with senior managers to achieve this
  • Liaison with World Jewish Relief to support relationship building with national employers
  • Providing ‘in-placement support’ to clients in paid and unpaid work placements, including visiting sites to resolve issues and to deliver regular follow up meetings
  • Develop and maintain client records, complying with systems in place to monitor data and outcomes.
  • Contribute to the evaluation of the project through monitoring, reviewing and evaluation of interventions and services provided. This will include contribution to meetings, working groups and activities as required, including the provision of reports and project information.
  • Undertaking relevant training as required
  • Any other duties that from time to time may reasonably be required
  • Ensuring that professional boundaries are maintained at all times
